DocuClix File Sharing 

DocuClix offers various file sharing levels:

DocuX Share

DocuClix File Share

  • Account share requires the file owner or sender to have a DocuClix Account.
  • The recipient of the shared file will receive email notification with a link to the shared file. For file or form security, there are no email file attachments and the recipient is not required to register.
  • The Account/File owner can share a File from the Free DocuClix subscription via the File Manager with one or more recipients.
  • From the File Share page, the File owner manages the file share link expiration dates and file permissions (edit versus view only). At any given time, the File owner can edit or remove the share rights.
  • Under the DocuClix Personal Subscription plan, you can collect Form Files via a DocuClix File link on a website, email, or social media post. DocuClix will collect the Form data for you and will place the files in the Personal Form File Manager in your DocuClix account.
  • Additionally, you can share, upload, scan, or request files.
  • With the DocuClix PRO Subscription plan, you can create Files Spaces, add members to your account, and collect Form Files via web site links you manage directly to your PRO DocuClix account. PRO has a built in File work flow share feature that allows you to SubShare files for further collaboration (e.g. signatures from other departments or organizations).

DocuClix ProShare

With the Personal and PRO Subscription, the file owner receives forms and files from submitters in to the ProShare space. With the PRO Plan, the file owner can further share this Form File with others via the ProShare feature. The ProShare feature serves as a Form work flow for others to review, edit, or sign the original submitted form. When done, the Form gets submitted back to the file owner. While these steps take place, the Form version control is maintained without having to download, upload, or attach the Form to emails.

Who is A File Submitter/Sender?

  • An individual or organization who submits or sends a file or form link to a File Recipient electronically via a website or other platforms (e.g. social media, links in email, etc.).
  • A File Submitter/Sender can be a private person, a government, legal, business, education, medical, insurance, or non-profit organization.

Who is A File Recipient?

  • Direct File Recipient: An individual or organization who receives a secure form or form file link from a submitter or sender to access a file posted to the DocuClix Editor.
  • Web File Recipient: An individual or organization who receives a file or form file via a posted web link on the individuals or organization's web site.
  • A File Recipient is in most cases the owner of the file and can be a private person, a government, legal, business, education, medical, insurance, or non-profit organization.

Type of Information or Form File Data that is shared: personal, sensitive, private, or public information.

File and File Link Security

Since you are not sending actual files via DocuClix, but instead, by sending links to shared files or form files, your collaboration is more secure. Furthermore, you can password protect the access to shared Form Files or your own personal file links.

As the sender of a file link, you have the option to set a file link expiration date. Unless the recipient has clicked on the file link within the expiration date, the file link will expire and no longer be active after the expiration date. Unlike email attachments, once you have emailed the attachment, you no longer control on which third party email server or where the file or file link is being stored.

As a File Recipient, you might receive many files from different File submitters/senders, thus the file transmission or exchange platform is critical in order to assure and maintain file security. The File Sender and File Recipient need assurance that the information being exchanged via a file is secure. Attaching a file with sensitive information to an email is not as secure as exchanging a file links via a trusted secured server.

File Version Control and Duplication

If the File Recipient receives an electronic file and is asked to complete and sign this file before transferring or sharing as an email attachment with the File Sender, both parties lose version control of the file since this type of exchange results in duplicate file versions.

Why Share a File as a File Recipient on DocuClix?

In most cases, the File Recipient is also the source who is asking the File Sender to provide a certain type of information by completing it on a file. The Recipient would like to control the layout and type of information requested, thus the PDF file format is very advantageous for this type of controlled and structured information exchange. The File Recipient can design/create the file layout on a preferred application, convert this format to PDF via DocuClix and make it available either via a personalized link to the File Submitter or make the file available via a website link. Once an anonymous user clicks on this link, it will load on DocuClix and is ready to be completed by the File Submitters without downloading, or loading into a PDF edit compatible application before uploading/emailing it to the File Recipient.  

  • Why submit a file on DocuClix?
    • Creating and submitting/sharing is fully integrated.
    • Submitting, sharing on DocuClix is easier and safer than using email attachments.
    • After your submission, you can still update your application, attachment until it has been opened by the recipient.
    • You will know if the recipient has opened your submitted form or application.
    • You can limit the time frame on when the submitted, shared file can be opened.
    • You can remove the submission or sharing rights at any time.
    • You can collaborate and ask the recipient to add to the form without losing version control.

Compare DocuClix Share with Google Drive, Dropbox or OneDrive

  • You are not required to register a DocuClix based email address. Unlike on Google Drive, senders are required to register for a Gmail email address. To collaborate directly on a file on Google Drive the recipient also requires a Gmail email address (unless you select the option - anybody with the link can edit a file). Thus, DocuClix gives you more privacy as DocuClix does not have access to your email inbox unlike Google Drive via Gmail.
  • DocuClix enables you to send or post PDF files via a link anywhere (e.g. site, social media, email link, etc.) allowing the recipient to edit, sign the PDF after just one click.
  • The DocuClix PRO version lets you you post or send one PDF Form File to multiple recipients who can store the individually completed PDF form file directly to your DocuClix account, allow you to collect applications, etc. easily and without email attachments. Google Drive only allows you to collect file data via one file from one submitter at a time.
